For instance, our wedding coordinators respond to emails from clients and vendors while also managing the minute details of the ceremony, like assisting with the table arrangements. our Month-of-wedding coordinator provides expert support to our couples before and on their wedding day to make the event run as smoothly as possible.
The primary duties of a Month-of-wedding coordinator include:
- Meeting with the couple a few weeks before the wedding.
- Communicating with vendors to confirm logistics and review contracts.
- Assisting with creating a comprehensive timeline and floor plans
- Completing final checkup on the venues for ceremony and reception
- Addressing any overlook details
- Managing the rehearsal
- Overseeing all aspects of the wedding day ceremony
Our Month-of-wedding coordinator requires the entire plan of the event in writing, so we can ensure all goes as scheduled. Our Month-of-wedding coordinators are accountable for the entire ceremony; we possess excellent communication and follow-up skills. Multitasking is also crucial because Weddings by Lovely Little Ladies coordinators deal with an array of duties simultaneously, such as coordinating with caterers or finding extra chairs for unexpected guests.
Planning
Wedding Consultation & Vision Overview
- To go over details and logistics
- Venue Walkthrough with vendors and or couple
- Venue Walkthrough with couple to finalize details and logistics (3-5 days prior to wedding)
Wedding Venue & or Wedding Reception Before & After
- Distribution and assistance with the timeline(s), for wedding venue & or reception
- Agreed Table Settings, Linens, Decor & Floral Arrangement assistance and review.
- Venue Seating chart assistance and review
- Venue floor plan assistance, &; other pertinent information to vendors (5-7 days) assistance & review
Execution & Logistics
Venue Management
- Collecting copies of insurance (and other documents required by a venue for Wedding Venue &; or Reception Venue) from vendors & passing this information along to the venue.
- Fielding any hiccups that may occur and making decisions to problem solve
Decor & Design Assistance
- Setting up place cards
- Gift table
- Assistance with table setting and floral arrangements.
Vendor Booking & Communication
On the Month of Coordination, you will be responsible for booking most of your vendors however we will take over communicating details with your vendors. We will have a meeting within the two- three weeks and 5-7 days before the wedding where you will share these details with I Do Weddings by Lovely Little Ladies and our team will go over your filled-out documents. Within the 30-45 days, our team will rely on your planning, and we will be there to execute your timeline and keep things to your schedule.
- Vendor Confirmation - Collecting all vendor contact and & responsibility information from you. (to be given 14 days prior to the wedding –
- outlined of contractual responsibilities and duties to be performed.
- Serving as the “team captain” of all the vendors on the day of the wedding.
- Ensuring everyone arrives on time,
- Follow any house rules provided by a wedding venue and or Reception Venue, as detailed in your contracts.
- the liaison between the couple and vendors to follow the timeline (s). (to be given 5-7 days prior to wedding)
- Fielding any hiccups that may occur and making decisions to problem solve.
- Collecting information regarding your balances with vendors,
- vendor meal requirements, etc. to pass along to you and/or the venue.
- Reviewing order lists with rental companies, florists, caterers, etc. to ensure everything your event requires is accounted for.
- Discussing details to ensure you have everything for the day of the ceremony and/or reception.
Day Of Wedding Ceremony And Or Reception Management
Ceremony & or reception on the wedding day coordination at the venue entails early arrival to ensure all vendors are set up on time and to answer questions.
- inform the bride, groom, photographer and band or DJ of the scheduled events,
- grand entrance
- cake cutting
- first dance
- Cocktail hour
- Dinner
- Toast/speeches’, etc.
During the Ceremony Management
- queues for the musicians
- direct ushers with seating and program distribution
- maintains the processional flow
- ensure the wedding party gets ready for the photo shoot.
- directs guests to the reception
- knows how to move with the timeline and accelerate or decelerate the pace, depending on the situation
Wedding & Bridal Party Management
- ensure everyone is in place
- distribute bouquets pin corsages to the bridal party & family members
- remind the Best Man, Maid of Honor, Parents, and honored guests when it is time to give their speeches
- check that everyone is fulfilling their duties as outlined in the contract and timeline
- guests receive proper treatment
End of Ceremony And Or Reception
- retrieve wedding gifts/cards ~ we will monitor the flow of the card box and personally hand the cards to you at the end of the night.
- arrange for ALL your personal items to be packed up and given to a designated family member, room, and/or vehicle.
